Who is responsible for YOUR information?

  • City of Karratha is responsible for managing your personal information on this site.
  • Social Pinpoint provides the software used and may access some personal information. For further details, please refer to Social Pinpoint’s Privacy Policy.

Privacy Laws:

Our collection, use, and disclosure of your personal information is regulated by:

  • Local Government Act, 1995,
  • Freedom of Information Act 1992 (WA), and
  • Principles contained within the Privacy Act, 1988 (Cth).

How will we use and disclose your information?

We collect your information to:

  • inform City of Karratha policy, project and service decisions,
  • identify your demographic profile (demographics include information such as your age, gender, suburb, and ancestry),
  • send you newsletters or project updates (only after receiving your consent or when necessary for site administration),
  • facilitate your request to follow a project,
  • respond to enquiries that you have contacted us about,
  • improve the site's performance and user experience,
  • perform any other functions that we indicate to you when we request your personal information, and
  • attribute content that you post on the site to your username.

Public Posts and Feedback:

  • Some of the feedback tools used on this platform, such as the mapping tool, involve public posting. This does not include surveys.
    • If the feedback tool being used involves public posting, this will be made very clear before you are asked to provide your feedback.
    • Any content that you post on the site publicly will include your username and may be quoted in reports or other consultation tools and will be viewed by everyone who uses the site.
    • You are encouraged to create a username that is not identifying, for example: Red12#. If you have already created a username that you would like to change, please see the access and correction advice below.
    • Remember, public posting on this site only displays your username.
  • Your feedback, including any demographic details you choose to provide, will become available to the City of Karratha. All information will be treated confidentially, and any identifying information, such as your email address, is removed before analysis occurs, and data is stored in our Knowledge Bank.
    • Demographic data may be used to group sets of data, to support project insights.

Public Submissions:

  • For some projects, such as Development Applications, the City of Karratha will use the term public submission when seeking feedback.
  • For public submissions we may ask for identifying details, however, identifying details will not be attached to an individual's public submission on any public records.

Knowledge Bank (Feedback Repository):

The City of Karratha has created a central repository, or Knowledge Bank, of all feedback responses received from engagement activities.

The City of Karratha aims to maintain your anonymity within the Knowledge Bank through the following actions:

  • Personally identifiable information (e.g. name, contact details) will be excluded or masked to preserve your anonymity.
  • With your consent, any verbal feedback you provide to staff, will also be added to the Knowledge Bank.
  • The Knowledge Bank tags survey responses based on the subject matter and demographic data such as suburb, age, gender, and ancestry, that we collect at registration, from which the responses are received.
  • Staff can filter the responses in the Knowledge Bank by subject matter, suburb, age, gender, and/or ancestry, to:
    • inform future projects,
    • gain insights into neighbourhood sentiment,
    • group segments of our community across key themes, and
    • ensure the provision of consistent service delivery across geographic areas of the City of Karratha.
  • While the City of Karratha takes multiple measures to protect the anonymity of survey respondents, we ask that you help us reduce the risk of inappropriate information access and exposure by not including other information in your open-ended survey responses that could possibly identify you or others.

What We Make It Moderation:

By monitoring information and feedback that site users provide, we can protect the integrity of the discussions from individuals and groups who may attempt to unduly influence the outcomes of a consultation process. For example, we check to ensure each user has a single email account. We also review the site to protect it from span or trolls.

Data Integrity:

We also use the demographic information provided to compare it with the demographic data collected by the Australian Bureau of Statistics Census. This helps us understand which voices we are hearing on the What We Make It online platform, and which voices we need to seek through other forms of engagement, such as paper-based surveys, or face-to-face opportunities, including workshops, interviews and pop-up engagement stalls.

Sharing with Third Parties:

We may disclose demographic information to third parties, and you consent to us disclosing this personal information, for the following purposes:

  • To assist research consultants engaged by the City of Karratha, to review, interpret and gain insights into feedback submitted via What We Make It. Insights derived from the feedback by research consultants assist the City of Karratha identify particular patterns or areas for service improvement and the creation of better project, plan, and policy outcomes.
    • The information supplied to research consultants is limited to raw feedback responses and excludes the provision of your name, contact details, or other information that could directly identify you.
    • All consultants have agreed to the collection, use, and disclosure of the raw feedback responses, in accordance with this Privacy policy for using What We Make It.
  • The City of Karratha will not disclose your information to another external party without your consent, unless required or authorised by law.
